When server storage is maxed out, your website might slow down, encounter errors, or even go offline. Overloaded email storage can strain server performance, affecting all services hosted on the same server.

If your hosting account hits storage limits due to email overload, new emails might bounce back, affecting communication.

Efficiently managing your disk usage in webmail ensures that your account remains functional and prevents issues like exceeding your storage quota. Below are steps and strategies to help you manage your email storage effectively.

Understand Your Storage Quota

Login to your webmail.  The URL is usually yourdomain.com/webmail
On the top bar, You will be able to see how much storage you have used for your email account

Identify Storage-Hogging Emails

Use the search feature to locate large emails: Search for attachments by file type (e.g., .pdf, .zip, .mp4).

Sort emails by size,  You can use Options on the top to sort emails. See image below

Check for emails with large attachments in the "Sent" folder, as these count toward your storage.

Delete Unnecessary Emails

Regularly clear your "Spam" and "Trash" folders.

Delete old newsletters, promotional emails, and social media notifications.

Bulk-delete emails from specific senders or older than a particular date:  To Do this, once you log into website, on the dashboard page towards the botton, you can see Manage Disk Usage, and here you can some options to delete emails.  


Delete Email copies from Server

If your email is linked with email software like gmail, outloook or Mail app.  Then it downlaodsall the emails and leave a copy of email on server.  So when setting up email with emails software, make sure to keep the option of leaving a copy unchecked.  See below image, if your email is setup with Gmail
